Workspace management

Create a workspace

  1. Open the workspace switcher at the top of the sidebar and choose Create workspace.
  2. Name your workspace. Up to 80 characters. The name cannot contain a URL.
  3. Set your workspace's URL. Plane suggests one based on the name. You can edit it, up to 48 characters, using letters, numbers, and hyphens.
  4. Choose how many people will use this workspace.
  5. Create the workspace.

Choose your URL carefully

The workspace URL cannot be changed after creation. Pick something durable, ideally your company name. Everything else, including the workspace name, can be changed later.

Some URLs are reserved by Plane and cannot be used. If the one you want is taken or reserved, Plane tells you while you type and you can pick another.

There is no limit on how many workspaces you can create or belong to. On self-hosted deployments, an instance administrator can turn off workspace creation, in which case only they can create workspaces.

What you get in a new workspace

A new workspace is not empty. Plane sets up:

  • Your membership as the owner, with full control of the workspace.
  • A sample project with example work items, states, labels, cycles, and modules, so you can see how things fit together. Delete it once you are ready to add your own.
  • A wiki with a default collection named General.
  • Default project states and work item relation types.

General settings

Go to Workspace settings → General to manage the basics.

SettingCan it changeNotes
LogoYesUpload an image to represent the workspace.
Workspace nameYesUp to 80 characters.
Company sizeYesThe same options offered at creation.
Workspace URLNoShown for reference. Click it to copy the full URL.
Workspace timezoneYesSets the default timezone for the workspace.

Save with Update workspace.

Owners and admins can edit these settings. Members and guests can open the page but see everything read-only.

Switch between workspaces

If you belong to more than one workspace, use the workspace switcher at the top of the sidebar. Your current workspace is listed first. Plane remembers your last workspace and takes you back there next time you sign in.

The switcher also holds Create workspace, Workspace invites, and Sign out.

Accept an invitation

When someone invites you, you receive an email with a link. You can also see everything waiting for you at Workspace invites in the workspace switcher, select the invitations you want to accept, and join them in one step. Plane then takes you into the workspace.

Leave a workspace

Open Workspace settings → Members, find yourself in the list, and choose Leave. You will lose access to the workspace, and this cannot be undone.

You cannot leave if either of these is true:

  • You are the only admin or owner. Promote someone else first, or delete the workspace.
  • You are the only admin of a project. Promote another project admin, or leave that project first.

When you leave, your work is not deleted. Work items you created or were assigned stay where they are, along with your comments and pages. Your membership is deactivated rather than erased, so history stays intact. If you are invited back later, your membership is restored.

Delete a workspace

Role: Workspace owner. Admins cannot delete a workspace.

  1. Go to Workspace settings → General.
  2. Scroll to Delete this workspace and choose Delete.
  3. Type the workspace name, then type delete my workspace to confirm.
  4. Confirm.

Deleting a workspace is permanent

Deleting a workspace erases its projects, pages, and data for every member. It cannot be recovered. Only continue if you are certain.

If you have a paid subscription or an active trial, cancel it first. Plane blocks deletion until then and points you to billing.

Transfer ownership

An owner can promote another member to owner through the members page. Open Workspace settings → Members, find the person, and change their role to Owner from the dropdown.

However, there is no way for an owner to demote themselves or transfer their ownership away. If you need to remove the current owner and make someone else the sole owner:

  • Plane Cloud: contact Plane support with the new owner's email and your workspace slug.
  • Self-hosted: your instance administrator can make the change via the management command.

Until then, you can promote multiple people to owner so the workspace is not dependent on one person.
