Members and invitations

Go to Workspace settings → Members to manage who has access to your workspace. The page has two tabs:

  • People - Your workspace members
  • Agents and apps - AI agents and connected applications

Guests cannot open this page at all.

The members list

The members list shows every person in your workspace as a row with these columns:

  • Full name - Clickable to visit their profile
  • Display name
  • Email (not shown to guests)
  • Role - The member's role
  • Authentication - How they signed in (not shown to guests)
  • Joining date
  • Billing status

You can search by name or email, filter by role, and sort by any column. The list shows 25 members per page by default; you can change this to 10, 50, 75, or 100.

Removed members stay in the list marked Suspended, so you can still see the history of who was in the workspace.

Search members

Use the search box at the top to find members by name or email address. The search is case-insensitive and filters both the members list and pending invitations.

Filter by role

Click Filters to show or hide members by role. You can also filter to show only Suspended members (those who have been removed but stay in the history).

Sort

Click any column header to sort by that column in ascending or descending order. Click the arrow icon to reverse the sort direction, or click "Clear sorting" to return to the default.

Invite users

Role: Owner or admin, or a role with the invite permission.

Click Add member to invite people to your workspace.

  1. Enter one or more email addresses.
  2. For each person, select their role.
  3. Click Send invitations.

They receive an email invitation. You can invite several people at once, each with their own role.

A few things that can stop an invite:

  • You are out of seats. Plane tells you and offers to add more seats. See Billing and plans.
  • You cannot assign a role above your own. Owners can assign any role. Admins can assign member and guest roles, but not owner or admin roles.
  • The email domain is blocked by your instance's settings.

Import members from a CSV Pro

For a larger group, click Import and upload a CSV file.

CSV column requirements:

  • Email (required) - Must be a valid email address
  • Display Name, First Name, Last Name (optional)
  • Role (optional) - Use numeric values: 5 for Guest, 15 for Member (default), 20 for Admin

Columns can be in any order; Plane matches them by header name (case-insensitive). Extra columns are ignored, and missing optional columns default as empty.

Important notes:

  • Importing adds people directly to the workspace without sending them an invitation email.
  • New user accounts are created automatically if the email doesn't exist in the system.
  • Importing creates or reactivates members; if someone is already in the workspace, their role is updated to match the CSV.
  • Each imported member consumes a seat according to their role, so the import will fail if it exceeds your seat limit.
  • If any import fails (e.g., exceeds seats), the entire batch is rejected.

Results: Plane shows a summary of how many members were added, how many reactivated, and how many failed. If any rows failed, you can download the errors to see what went wrong, fix them in your CSV, and try importing again.

Pending invitations

Invitations that have not been accepted appear below the members list in a Pending invites section with a count.

  • Change the role on a pending invitation if you picked the wrong one.
  • Remove an invitation to revoke it.
  • Copy the link if you want to send the invitation link directly instead of the email.

Important: pending invitations count against your seats, so revoke any you no longer need. There is no resend option - if someone lost their invitation, remove it and invite them again.

Manage members

Change someone's role

Find the member in the list. In the Role column, click the role dropdown and pick a new role.

Constraints to know:

  • You cannot change your own role. Someone else with sufficient access has to do it.
  • You cannot manage a role above your own. Owners can change anyone's role, including promoting others to owner. Admins can promote or demote members and guests, but cannot change owner or other admin roles.
  • Owner and Admin roles depend on your plan. On Free and Pro plans, there is no separate Admin role - everyone with full workspace access is an Owner. On Business and Enterprise Grid plans, Admin becomes available as a distinct role.
  • Seats matter. Promoting a guest to a paid role can be blocked if you are out of seats.
  • Demoting someone to Guest has side effects. Their access in every project drops to guest, and they are removed from all teamspaces.

Remove a member

Hover over the member's row. In the Full name column, a three-dot menu appears. Click it and choose Remove (or Leave if you're removing yourself).

A confirmation modal opens. Type the member's name to confirm, then click the red Remove button.

Plane blocks removal if the person is the only admin of a project. Promote another admin there first.

What happens when you remove someone:

  • Their access is revoked immediately, in the workspace and in every project.
  • They are removed from teamspaces and from pages shared directly with them.
  • Their work stays. Work items they created or were assigned, their comments, and their pages are untouched. Nothing is reassigned or deleted.
  • Their row remains in the members list marked Suspended, so history stays readable. If they are invited back and accept, their access is restored.

You cannot remove yourself via the row menu. Use the three-dot menu on your own row and choose Leave instead. See Create and manage a workspace for the full leave flow.

Workspace member activity Enterprise Grid

Click the Member activity button on the toolbar to open a timeline showing all membership changes in the workspace: who was invited, who joined, whose role changed, and who was removed, along with when each action happened and who performed it.

The activity sidebar slides open from the right side of the screen. You can sort the timeline by oldest-first or newest-first, and close it by clicking the X.

For a broader security record of all workspace activity beyond just membership, see Audit logs.

Agents and apps

The Agents and apps tab lists AI agents and connected applications that act in your workspace, with their type, who created them, when they joined, and when they were last used.

Agents and apps do not consume a paid seat. See Agents.
